Marriott Library Circulation Policies

Marriott Library Circulation Department policies were developed to provide access to the library's collections by the greatest number of patrons in the most timely manner. In most cases, the Marriott Library owns only one copy of a book or journal. You may check out as many circulating items as you want. However, remember that the library's collections are intended to be a shared resource. Each borrower needs to be sensitive to the effect of his/her own borrowing habits on others. Please return items as soon as you are finished using them, regardless of when they are due. This puts them back into circulation so that the collections are readily available to others. Careful handling of library material by all concerned will help keep the collections intact and usable for generations of patrons to come. Please help us keep our collections clean and in good shape.

Marriott library respects the privacy rights of borrowers and considers circulation records to be confidential. Individual circulation records will not be revealed to others.

Materials we own:
Who can borrow Library materials
Active Faculty, Staff, and Students of the University of Utah with a VALID ID card may borrow library materials. No other form of identification is accepted. (Your ID card is your library card.) If you have not yet received your ID card, you may go to the Ucard office (1-CARD) in the Olpin Union to get your card.

Faculty may authorize assistants to charge out Library materials, as proxy borrowers, in the name of the individual faculty member. These assistants must be employed by the University, be registered students, or funded by research funds. Under this arrangement, the individual faculty agrees to be responsible for responding to recall notices, returning/renewing materials on time, and payment of any fees accrued on materials that are late, lost or damaged. To apply for a proxy borrowing arrangement, the faculty member along with their intended assistant must complete an application form, which may be obtained from the Cashier’s Department on either the first or third floors of the Marriott Library.

The Goal of the University of Utah Libraries is to provide equal access to information for all students, staff, faculty, and guests. To this end the Marriott Library offers a number of services and facilities that can accommodate research activities for those with disabilities. This Link will provide more information on the Marriott Library's Access Services for users with disabilities.

In accordance with AOCE regulations, ULEARN students (or Independent study students) may use the facilities of the Marriott Library, excluding the computer center. Students outside the continental United States may not borrow materials. Photocopies are available through the Interlibrary Loans Office. To request a library card, complete the application form found in your "Policy and Procedures" brochure or inquire at the ULEARN office by calling 801-581-8801 or 1-800-467-8839. A VALID library card must have a current mailing address, as all independent and correspondence students' transactions will be handled through e-mail and the U S Post office.

Borrower's Responsibilities

  • You are responsible for all materials checked out on your ID and any fees or damages incurred until the item is returned.
  • ID cards and responsibility are not transferable, do not loan your ID or borrowed items to others. Also, do not depend on others to return items for you.
  • Report a stolen or lost ID immediately to the University ID bureau 801-581-CARD. Also, report it to the Marriott Library Circulation Department 801-581-8203.
  • It is the responsibility of the borrower to note the time or date that their materials are due. Overdue notices are sent as a courtesy. Failure to receive these notices does not remove the borrower's obligation to return material by the due date, nor does it constitute grounds for reducing a borrower's fines.
  • Please be aware that when materials are recalled the loan will be shortened. The new due date is noted on the recall notice. Items may be recalled at any time, and thus it is recommended that items should be returned prior to travel.
  • If you receive overdue notices for materials that you believe have been returned, contact the library specified on the notice or the Marriott Library Circulation Department. 801-581-8203.

Loan Periods
Circulating library materials may be checked out at the East Exit (Level 3) or the West Exit (Level1). Current issues of periodicals, microforms, audio-visual materials, reference materials, and items from Special Collections do not circulate.

White Call Number Label
Books and documents (white call number labels):
-Two months for University of Utah faculty, graduate students, undergraduate students or staff.
-UALC and Library Permit holders-two weeks.
Yellow Call Number Label
Bound Periodicals (yellow call number labels):
-Three days for University of Utah borrowers or Library Permit holders-no renewals, no recalls.
-UALC borrowers may not check out bound periodicals.

Recalls
Borrowers may recall items which are checked out to another borrower. All materials checked out by any borrower are subject to recall. Borrowers are assured a minimum borrowing period of 10 days. Recalled books are due 10 days after the due date they are recalled. Computer generated recall notices are mailed to notify the borrower that an item has been recalled. Fines of $1.00 per day per item begin the first day the item is overdue and accrue to a maximum of $25.00. There is no grace period for overdue recalled materials. If a recalled item is not returned within 28 days from the recall date it will be billed as a lost item.

Renewals
If you wish to keep books beyond the due date, please renew the loan to avoid lost item charges. Renewal requests will NOT be accepted after a bill for lost charges has been assessed. It is the responsibility of the borrower to be aware of the new due dates for out-of-hand renewals.

-Bring items in person to either the East Circulation desk (level 3) the West Circulation desk (level 1) or Math Library 121 JWB.
-Return the courtesy overdue reminder notice in person, by mail, or fax (585-3464) specifically requesting renewal.

Overdues & Fines
Library material are due on the date printed on the receipt that is given when materials are checked out. Exceptions are when the loan period has been extended by an out-of-hand loan renewal, or when the loan period has been reduced after an item has been recalled by another library patron. Courtesy overdue notices are mailed one week after an item is due, and again one week later. If the item has not been returned within the twenty-eight days of the due date, the item will be billed for replacement. The lost item replacement charge includes the price of the item, a $25.00 processing fee, plus a $10.00 billing fee. Failure to receive courtesy overdue notices in no way relieves the borrower of his/her obligation to return the item by the date it is due. Responsibility is assigned to the patron whose ID card was used for checkout. Registration and/or transcript holds may result if a borrower's fines are not resolved.

Lost Item Charges
The charge for a lost item is the cost of replacement plus a $25.00 processing fee, plus a $10.00 billing fee. The cost of replacement is taken from "books in Print" or book dealers' catalogues for out-of-print items. If no price is available, the replacement fee is the average cost of an academic book in the same general subject area as the lost book (as a guideline, the average price of an academic book purchased by the library in 2000 was $60.00).

Materials more than twenty-eight days overdue are considered lost. The lost item charge will be reduced to the $10.00 billing fee if the item is found and returned to the library. The library will refund the replacement price of the item if a lost item is returned after the billing fee has already been paid.

Unpaid library fines may result in holds being placed on student records (registration/transcripts/graduation/re-admissions). Questions regarding overdue charges or bills should be directed to the Circulation department (581-8203). Non-University borrowers (Library Permit and UALC patrons) with outstanding fines will be unable to check out more library material until all records are cleared.

Where can I return library materials?
It is preferable that materials borrowed from any of the University of Utah's Libraries (Marriott, Quinney, Eccles, or Math) be returned back to the institution they were lent from, but if it is necessary items may be returned to any one of the aforementioned U of U Libraries where during the check-in process they will be sorted and sent back to their proper home.

Access to Materials we do not own:
Despite the Marriott Library's vast collections of books, journals and other scholarly information published, it is not possible to own it all. There will be times when you can identify a source that would be helpful to you in your research that we do not have available for your immediate use, but that does not mean we can not get it for you. The Marriott Library has a knowledgeable staff to help you obtain items in every way possible.

Interlibrary Loan
The Interlibrary Loan Department provides access for students, staff, and faculty of the University of Utah to a vast amount of the information that is not available at the Marriott Library. By use of National and World-Wide Catalogues we can track down and provide, either in the form of a borrowed book, or photocopies of an article, almost anything the user might need. Through cooperative agreements we borrow items needed by our patrons from libraries around the world.
